Fee Collection

Fee collection in Edvronix is handled through standard ERPNext Sales Invoices, enhanced with automatic fee rate override and gender-based cost center assignment.

Creating a Fee Invoice

  1. Go to Accounts → Sales Invoice → New
  2. In the Student field (added by Edvronix), search for and select the student
  3. Add the fee item(s) to the Items table (e.g., "Monthly Tuition Fee")
  4. On Save, Edvronix automatically:
    • Overrides the rate with the student's custom_tuition_fee from their Program Enrollment
    • Assigns the correct gender-based cost center
  5. Submit the invoice to post the accounting entry

Workspace Quick Action

From the Edvronix Workspace, click the Sales Invoice shortcut to open a new invoice directly — the fastest path for daily fee entry.

Bulk Invoice Creation

For creating invoices for an entire class or program at month-start, use the ERPNext Fee Schedule or create invoices in bulk via the Data Import tool.

Recording Payments

After submitting the Sales Invoice, record the payment using a standard Payment Entry in ERPNext:

  1. Open the submitted Sales Invoice
  2. Click Make → Payment Entry
  3. Select the payment mode (Cash, Cheque, Bank Transfer)
  4. Enter the amount received
  5. Submit the Payment Entry

The invoice is marked as paid and the outstanding balance updates automatically.

Advance Payments

If a parent pays in advance, record a Payment Entry without linking it to a specific invoice. The advance credit is stored against the customer (parent/guardian) and can be reconciled against future invoices using Payment Reconciliation in ERPNext.

Checking Outstanding Fees

Use the Monthly Outstanding / Dues Report to see all students with unpaid balances for any given month. See Fee Reports for details.
